
The Downtown Estacada Commission (DEC) is looking for vendors for the Tree Lighting Event happening December 5, 2025 in Downtown Estacada.
Applications must be received by November 21st. Space is limited, your spot will not be held until payment is received.
Vendors entire booth activities must fall within these categories: alcohol, food, arts and crafts, fine art, farm, beauty/fashion products, garden and/or produce. Non-profits (501 c category) can sign up and if offering a free children’s activity in their booth with no sales can request to have their fee waived. Applications are not complete without payment. Refunds will not be issued to vendors who withdraw from the event within 14 days of the scheduled date, regardless of the reason. This is a family event, and we kindly ask that all vendors keep their booth content and activities family friendly.
Vendor Event Information:
Friday, December 5, 2025. Downtown Estacada on Broadway and Harvest Market Square. Vendor set up time is 4pm. You must be set up and ready to roll by 5pm. Vendor take down starts at 8pm, early take down is not allowed – you may close your booth, but must remain until the end of the event. Vendors who take down early will be banned from participating in future DEC events. Your space must be clean of all garbage and merchandise.
Booth space: Each vendor space is 10′ x 15′ and costs $100—no other sizes are available. If you need additional space, each extra spot is $100. Pay online at https://public.pointandpay.net/vweb/partner/cityofestacada (2.5% fee for credit cards), by mailing a check (made out to City of Estacada) to PO Box 598, Estacada, OR 97023, or with cash in person at City Hall. Vendors must bring their own tent, furnishings (tables, chairs, linens, signs), and serving supplies (for food vendors). The Fire Marshal requires pop-up tent legs to be weighted and electrical cords to be covered. Non-compliance may result in removal from the event.
Restaurant Health Permits: Exhibitors serving food and/or alcohol may be required to obtain a special event permit from the Clackamas County Health Department or Oregon Liquor and Cannabis Commission. The permit is to be posted in your booth. All vendors serving food should look into this requirement on the County’s website: https://www.clackamas.us/publichealth/foodfacilities.html or https://www.oregon.gov/olcc/lic/pages/default.aspx.
Insurance Certificates: All exhibitors with food or beverage must have business insurance and be able to provide proof of insurance if requested. It is the vendor’s responsibility to complete all due diligence and ensure compliance with any additional requirements from Clackamas County or other regulatory agencies.
