Who can use the community room?
The room may be used by residents, non-residents, community groups, nonprofits, clubs, and approved organizations.
Can I reserve the room for ongoing meetings or events?
No, recurring or ongoing reservations are not permitted. Each event or meeting must be reserved separately and is subject to availability.
How long can events last?
Reservations are limited to 6 hours, including setup and cleanup time. Events longer than 6 hours require approval from the City Manager.
What types of equipment or event activities are permitted?
Certain items and activities are permitted for community events, including BBQ grills, lawn games, and picnic-style setups. For safety and maintenance reasons, some items are not allowed, such as bounce houses, latex water balloons, fireworks, or other equipment that may damage the grounds or create safety concerns. Contact City Hall before securing your reservation if you have questions about a specific activity or setup.
Are alcohol, smoking, or vaping allowed?
No. Alcohol, smoking, and vaping are not permitted in or around the community room or facility grounds.
Can I bring food and drinks?
Yes, food and nonalcoholic beverages are permitted
Who is responsible for cleanup?
Users are responsible for removing trash, wiping surfaces, and returning the room to its original condition.
How do I access the room on the day of my reservation?
A door access code will be provided prior to your event.
Where are the restrooms located?
Restrooms are located on the backside of the building.
Fees:
Is a cleaning deposit required for community room reservations?
No. A cleaning deposit is no longer required for community room reservations.
Are there rental fees for using the community room?
Yes. The community room rental fee is $20 per hour for all renters. This hourly rate applies to everyone, regardless of residency, and there are no separate resident or non-resident rates.
How do I pay for my reservation?
Payments can be made online through the City’s Online Payment Portal: https://public.pointandpay.net/collect/partner/cityofestacada, or in person at City Hall using cash or check within 24 hours of booking the room.
