Commissioners Present: 

Gloria Polzin, Jami Berry, Am Griswold, Janette Kirchhofer, Angel Austin, & Kathleen Wyatt.

 

Guests Present:  Dave Piper and Kate Bast

 

The meeting was called to order at 7:02 pm.

 

Approval of Minutes

The August minutes were read via email prior to the meeting and approved.

 

Financial Statement

Public Input:

Dave Piper, the Project Manager, came to update us on the Wade Creek Park project.  Background – The Volunteers of America gave a portion of the park property to the City of Estacada, and the City bought the adjoining piece owned by Valberg Lumber.  The library was built next door.  Enough additional monies were raised and grants received that the City Council decided it could build a park around the library.  The Master Plan was completed approximately 1-1/2 years ago and was estimated to cost $1.5 million to build. 

 

The project will be completed in three phases.  He brought the plans to show the commission as well.  The group has hired a contractor to build the 1st phase.  The plans and the bid process have been completed.  Phase 1 will include a restroom, parking lot, two playgrounds, grass, irrigation, picnic pavilion, 23 parking spaces, and the infrastructure.  It all sits on approximately 1 acre – which isn’t a lot but they feel they have used the space really well.  They are waiting for grants for next year to work on Phases 2 and 3.  They will include improvements to pond and a skate park. 

 

At Dave’s suggestion, the Arts Commission will wait to use the 1% for Art monies until Phase 2 and/or 3 monies come in as in Phase 1 there won’t be enough to work with to do anything significant.  We will be working on ideas – perhaps “water birds” – and will wait for updates from this group.

 

2007 Summer Celebration: 

Kate Bast reported the great success of the 2007 Summer Celebration.  She estimated that between 2,000 and 3,000 people were in attendance – of course, the weather cooperated which always helps!  Yeah!  We had 120 wonderful volunteers total.  We sold a lot of t-shirts this year ($727 worth), which was unusually high in comparison to prior years.   Side note – our backpacks did not sell as well as anticipated.  We will continue to sell them at events and at next year’s celebration.  The backpacks didn’t really have a sign so Jami agreed to make sure there would be a big one for next year’s celebration.

 

Kate also reported that the Summer Celebration had approximately $2,058 cash on hand with income at $23,755 and our expenses at $24,295.61.  But she will meet with Traci and get hard numbers as soon as she can.  The commission thanked Kate for her very hard work this year – it was truly appreciated.

Additional Projects/Ongoing Business:

Gloria reminded us that our annual Fall Retreat was sneaking up.  The date decided on was for September 29th, from 8 am to 12 pm, in Flora’s Room at the library.  We were very fortunate this year to receive the assistance of the Clackamas County Arts Action Alliance who will be facilitating this meeting.  The main focus of this year’s retreat will be the Estacada Summer Celebration.

 

Arts & Culture Series

Jami was still waiting for Estacada Together to meet (September 25) to see what their 2008 lineup will be before deciding on any Arts & Culture dates.

 

FOTA

Gloria plans to ask Debbie Turner and Jen Lewis to assist the commission by creating a FOTA list by combining the volunteer lists and expanding on that main list by adding email addresses to it as well.  Jami will be the person who responds to any FOTAs that email us.

 

The meeting was adjourned at 8:30 p.m.

The next meeting will be held Wed., October 3, 2007 at 7:00 pm in the City Council chambers.
