ESTACADA AREA ARTS COMMISSION
Wednesday, January 3, 2007

Commissioners Present: Gloria Polzin, Angel Austin, Janette Kirchofer, Rochelle Shibahara, Kathleen Wyatt, and Am Griswold. Jami Berry was absent.



Guests present: Nina Hamilton joined us late into the meeting.
The meeting was called to order at 7:02 pm.



Approval of Minutes: Approval of minutes was tabled as one commissioner had not been present at Decembers meeting and there was otherwise not a quorum to approve.



Financial Statement: Not available, but proposed operating budget was discussed. These numbers are a starting point, judging from the past numbers and on a not to exceed basis:
$ 100 - Administrative expense
500 - Arts & Culture series
100 - Arts Commission meetings
300 - Workshops, conferences, etc.
1000 - Publicity
We need to figure out/define where the money comes from and how to assess which part is the Arts Commissions and which part is Summer Celebrations.



Website: Rochelle noted that she could update our webpage if Jami would send her new information.



Mail: Nothing to report.



Yahoo Group: Meeting will adjourn to Rochelles house, where she will tutor us on how Yahoo Group works.



BUSINESS - Subcommittee Reports



2007 Summer Celebration: Kate Bast was not present to give a report. Regarding the CD Project, Gloria reported having heard from Jim Pharris that he does not have an Artist (musician) Release form, so we will have to either create one or perhaps contact KINK to see what they use.



Publicity: Kathleen reported that she is ready to print our Whos Who flier, but several Commissioners would like to se it again for a final look-see before printing. Kathleens article did appear in the local newspaper. Gloria will begin collecting these clippings and keeping a file for grant reporting.



Fundraising: Thank you cards need to be sent to our wonderful grant writers. Names will be gathered and sent to them as well as to the granting entities.
Grants have been received as follows:
$ 4500 - RACC (of $5000 requested)
2500 - Clackamas Cultural Coalition -- we didn't get this one
3000 - Quadrant Homes -- we didn't get this one
10,000 - NEA Fast Track
2500 - finish RACC from last year
Next Summer Celebration meeting will take place on January 11, 2007 at the library conference room.



Community Outreach:
Estacada Tourism - no report.
Art for All - this wonderful effort was a big success this year.
Symphony - Rochelle bowed out of this subcommittee due to her workload, and Janette will take her place. Angel reported that things are beginning to happen in the schools. The instrument petting zoos will be coming up in all schools and symphony-related lessons are being added to curriculums.
Schools - Mural Art Walk - Angel reported that while walks are being planned, they will happen more with better weather. Angel is working of the mural booklet, and Am will see that she gets copies of all mural postcards, which are being printed even as we speak.



Public Art Opportunities:
Centennial - no report.
Library 1% for Art- Gloria shared a letter from City Manager Randy Ealy regarding the Percent for Art for the library having been met. He acknowledged the interest that has been expressed for a sign for the library, and stated the Citys commitment of $5000 towards that effort which will be spearheaded by the Estacada Public Library Foundation.
Wade Creek - Randy Ealys letter also directed the Arts Commissions attention to this upcoming project which will again make the Percent for Art money available. Gloria and Angel will attend the upcoming City Council meeting to give input of the conflicting language in the City ordinance in calculating the 1%. Kathleen volunteered to serve on the Wade Creek Percent for Art Committee



Public Input: Nina Hamilton joined us late in the meeting to talk about a new project she is taking on. She is opening an Art Supply Recycling Location to save useful materials which could be used for art and which would then be saved from landfills.



Meeting adjourned at 8:10 pm to Rochelles house for Yahoo Groups training. Date of next meeting is yet to be determined because of schedule conflicts of several commissioners.
