The July minutes were read and accepted as corrected.
OLD BUSINESS
Financial Statement
Mauragrace gave an update on her new financial system. The kinks are being worked out between her and Tracy at city hall, and they are going to further break down the budget line items. This will help determine where the money comes in for events and if we can be more efficient. The new system definitely helped to make 2005 Estacada Summer Celebration payments smoother. The next step is to document in-kind contributions.
Community Input
Nina brought up the idea of having a community group participate in the Providence Festival of Trees since Estacada is the “Christmas Tree Capital”. Lesley said she would bring it up to the Spiral Gallery at their next meeting.
Estacada Summer Celebration
The small group wrap-up meetings have been going well, with good reports and improvement ideas for next year. Overall community reports of the event have been positive. 97 surveys were filled out, Jami will break down the results and distribute them. The group wrap-up meeting date needs to be changed, set date in September will be announced within the next two weeks. Some things to discuss at the meeting include: the need for a separate garbage/recycling person, the fact that kids enjoy seeing their teachers at the art activities booths, the idea of raffling off a basket of local goods, checking with local restaurants for specials so our food vendors don’t duplicate what is already available, and the success of the sandbags. Cheryl Snow spoke to Jane and said the ESC children’s art activities are the best anywhere. Mauragrace and Jane are working on the RACC grant for next year, which is due 8/22/05. The wheels are turning to create a CD to sell next year, featuring past performers.
Centennial Arts Project
The Centennial Fountain project was reviewed in light of the upcoming 1% for Art project for the library. It was determined that the key to success will be clear communication with all involved. A firm basis for this will be to ask very specific questions to the artists interested in the project, in order to gain clear and well thought out bids. Jack Townes and Catherine Kumlin are confirmed members of the 1% Library Committee, and Angel will set a meeting date with the entire committee.
NEW BUSINESS
Spring Arts and
Culture Series
Mauragrace asked if any grants are available, she will look into it as time allows. Cheryl Snow recommended getting presentation money from OAC Arts Builds Communities grants for the series, as well as other events and projects put on by the Arts Commission and Estacada Together. Bill Flood mentioned possible monies from Operations Grants through OAC. Chautauqua was discussed, each EAC member will look through the new catalog and vote for possible programs for the ’06 lecture series at our September Meeting. It was also decided that we need to continue fleshing out responsibilities of the SACS, and perhaps create a large calendar from which to work.
Community Outreach
/ Networking
Mauragrace gave a report on the tourism committee. She will continue to go to the meetings, and reported that they had received $30,000 for the city. The committee voted to work on beautification, kiosks, signage, and a web page.
The library Renaissance feast and auction was discussed. It was decided that we would not as a group purchase a table, but would each try to attend if possible.
Gloria brought up the idea of expanding the board from 7 to 9 members. Jane mentioned that the Clackamas County Arts Action Alliance is actually shrinking their board, and that bigger isn’t necessarily better. It was decided to discuss this further at the Action Plan special meeting in October.
