Board of Director’s Meeting

Cazadero Inn

March 10, 2004

 

 

President Steve Stone called the meeting to order at 6:00pm.  Irene Adams, Lisa Galluzzo, Paula Nelson, Eric Jepperson, Dean Hansel, Michael Miller, Lee LaFollette, Dee Conrad, and Terri Miller were in attendance.  The meeting was held at the Cazadero Inn, Estacada, Oregon. 

 

Minutes of the Jan and Feb. 2004 meetings were read and approved.  The City of Estacada is now posting our minutes on their website for anyone who is interested.

 

For the month of February five new members joined the Chamber.  They are Douglas Ridge Rifle Club, Altramar II Mobile Home Park, Hong’s Restaurant & Lounge, Clackamas County Head Start, and Clackamas Country Parks.  Board members were reminded that we are to bring in at least 5 new members per year.  The new fee schedule was handed out to all board members for this purpose.

 

Paula Nelson, as head of the welcoming committee, is developing a form for new businesses to use for welcoming but did not have them available for us to see.  This will help the Chamber better serve the new business owners as they get established in the Estacada area.  Tracy Hovda from the city hall will notify the chamber as new businesses apply for business licenses from the city.

 

The Fourth of July celebration was discussed.  Dee Conrad is continuing to pole the parade participants regarding the parade route.  The city will be paving Main Street again this year so it might very well require that the parade be up town once again.  We will continue reaching as many people as possible that are involved in the parade and see what their opinions are about the current parade route as opposed to the route used in the past that went down through town.

 

An amendment paper will have to be attached to all parade participant forms showing that the participant has proper insurance before entering the parade.  Homeowner policies will cover walkers, animals, bicycles, etc, and auto policies will be required for all motorized vehicles.

 

Irene Adams will be in charge of putting out the Fourth of July Fundraising cans and picking the money up from the cans weekly and depositing it.

 

It was decided to change the name of the Fourth of July event from “Salute to Independence” to “4th of July Celebration” with the theme to reflect the Estacada’s Centennial Celebration. Letters must get out to the potential sponsors right away.  Paula Nelson has contacted Bi-Mart in Damascus and they are very interested in being a sponsor as well as Boyd’s Coffee.   McMenamin’s sounded very interested in donating money to the event; they do not act as sponsors however they will donate funds.

 

It is also time to get the letters out to the potential vendors.  All board members are to read over the vendor agreement and report at the next board meeting any changes they feel need to be made.  One notation that needs to be made on the Vendor forms is that the

Chamber of Commerce has exclusive rights to the sale of water at the Fourth of July Event.  It is important that all Vendors know this so that no one shows up with an inventory of water that they want to sell.

 

One more change that was discussed and needs to be made public is that there will be no private fireworks allowed in the park this year.  This is a rule set forth by PGE based on safety issues so we must see to it that it is enforced.

 

Lee LaFollette will be in charge of band entertainment for the Fourth.  The cost of the band that we had last year has gone up considerably so Lee will research other suitable bands.  Any suggestions should be made to Lee.

 

Lisa Galluzzo will head up the parade committee.  Dee Conrad will be in charge of the Participants registration table at the parade.

 

The High School Cheerleaders will man the dunk tank at the park and will split the money with the chamber.  The cheerleaders will also be in charge of collecting donations from the crowd at the parade. They will receive a cut of the money that they collect.

 

Lisa Galluzzo, Paula Nelson, and Michael Miller will attend the Tourism Committee meeting to see just what role they would like the Chamber of Commerce to play in the program.  They will report back at the next board meeting so we can discuss how to proceed with tourism.

 

New shirts need to be ordered for the Chamber Board Members.  Dee Conrad will get prices and report back.  Threads of Gold is a chamber member but she will approach other vendors such as Capital Sportswear, and Articulate Screen printing to see if they would like to become members and give us a bid on printing the shirts.

 

Paula Nelson moved that the meeting be adjourned and Dean seconded.  Meeting adjourned at 8:05 pm.
