ESTACADA ARTS COMMISSION

Wednesday, March 5, 2003

 

Present: 

Commissioners – Jane Reid, Jami Berry, Mimi Near, Barbara Mattson, Katinka Bryk, Dwight Douthit and Gloria Feider Polzin

Guests – Ben Erickson, Kate Bast, and Pat Dongvillo

 

The meeting was called to order at 7:00 pm. 

 

 

Minutes

The copy of last month meeting minutes were read and approved.  November’s minutes were distributed and will be reviewed individually.

 

Financial Report

Katinka reported the current balance is approximately $1,000.  PAGE is currently using the Arts Commission’s account and Jane requested they set up their own bank account.  Katinka will ask Traci at City Hall about getting a clear reporting.  Dwight agreed to see that PAGE proceeds with the request.

 

OLD BUSINESS

 

Policy and Procedure Update

Jane reported that she will be attending a work session before the March 10 City Council meeting to answer any questions council members might have about the Policies and Procedures for Acquiring City Art. Ben Erickson had received his copy to review and said it looked good, though noted we had forgotten to delete a mention of Percent for Art. That will be taken care of in the final version. Katinka will email another copy of the policy and procedures to everyone.

 

Community Outreach Update

Jane reported on the Clackamas County Cultural Forum meeting, which she attended.  She stated that sponsoring a “grant writing” workshop would be a beneficial to the community. 

 

Gloria suggested that we find someone to write a grant to replace Bev Anderson.  Katinka’s suggestion was to ask City Council for another AmeriCorp person to fill the spot.

 

Jane also reported that RACC is putting on a grant-writing workshop soon.  She will find out the basics and report back.

 

Jane reminded us that we have not had any commissioners attend the Chamber luncheons lately.  Dwight volunteered to attend.

 

Katinka suggested also that we distribute our minutes to the Chair of all the major groups in Estacada, such as Parks and Recreation, Planning Commission, etc.  Ben will bring up this idea at council meeting.

 

Auditorium Committee Update

Jane reported that the Auditorium Renovation Committee recognizes the need to figure out the roles the School District and Community have in utilizing the new auditorium.  She will meet with Dave Bugni and Donna Cansio soon to talk about aspects of this.  The auditorium’s grand opening date is set for September and the Trail Band is being considered for the event.

 

 

Arts & Lectures Series

Carlos Reyes and the Poetry night was a success.  It was suggested, however, that breaks be set between readings for parents with little ones who need to leave earlier.  The Community Center reminded us to sweep and mop after such events.

 

Art Abrams event. Jane Reported that the members of the Committee have most of the details of this event under control, but could use some help on the night.  Katinka, Gloria and Barbara will sell tickets at the door.  Barbara and Dwight will blow up balloons and attach ribbons.  Dwight is also going to take photos.  Set up time will be 3 pm on Friday.  

 

Local Writer’s Event

Kate reported that there would be five authors for this event; M.J. Cody, Stevan Allred, Ron Cogdill, Amy Shutzer, and herself.  She will ask each author to provide a bio and will email them to Gloria and a list of their books.  Gloria offered to MC the evening.  This next event will take place at the Council Chambers on Friday, April 11.

 

It was decided that each author would speak for 15 minutes and there would be a Q&A session at the end. 


Ben will provide a microphone and a podium stand. He will also look into doing a video recording for the cable station. Dwight will make sure the information gets into the local paper.

 

Kate also suggested bringing an email/address sign in sheet at this event.

 

 

NEW BUSINESS

 

Summer Celebration

The next meeting will be held on Wednesday, March 12, at Jami’s house at 6:30 pm.

 

The meeting was adjourned at 8:30 pm.
