Library Building Task Force

Draft Minutes

18 February 2003

 

Members present:

Michele Cheshier, Jim Reynolds, Jack Townes, Jane Troeh, Gary Warkentin, Pam Webber and Beth McKinnon.

 

Guests: Dave Piper, Gloria Polzin

 

Jim called the meeting to order at 1:10 at the Cazadero Restaurant.  Pam/Jack moved/seconded that the minutes of the February 11th meeting be approved as read. It was unanimously accepted.

 

After discussion of the Structural Committee’s architectural firm’s report and Michele’s advice on what information the City Council would need to see, Jim/Jack moved/seconded that this report be approved as modified in today’s meeting, along with attachments of proposals from SRG and BCJ. It was unanimously approved. It was also decided to submit the RFQ’s of these two firms to the Council.

 

Jim asked Michele how the City Council would prefer to receive the information  from the Task Force: in three separate presentations or the whole report at once? Michele advised the Task Force to present the entire report at once, with as much time to read it as possible before the formal Council presentation. Tentative plans were made to schedule the presentation of the document at the March 10th  Council meeting. Michele will query the Council on their wishes for a workshop in conjunction with the presentation, and will send us the Council’s preference by e-mail.

 

Jack Towns presented his written report from the Site Committee. There was some discussion and several suggested changes.

 

Jim asked the Task Force about a final recommended size for the library. After discussing the options, it was decided to use the OLA standards for the size of service population expected when we open the doors: 13,350 sq. ft.

 

The Task Force reviewed the development plan and suggested corrections. Jim will incorporate the suggestions into the document and send it out for review. The final Task Force document will be approved at the next meeting.

 

Jane asked what kind of communication was needed at this point. It was decided that an article in the local paper on the work that the Task Force has done would be appropriate at this time.

 

The next meeting of the Task Force is scheduled for Wednesday, February 26th at 9am in the City Council Chambers. The meeting was adjourned.
